Position Summary:

Under general supervision, within the sales-fulfillment function of the publications program, the shipping and receiving clerk maintains the publications-inventory and mail-room facilities and is responsible for the physical receiving and shipping of all merchandise offered for sale by the Conservancy, as well as the maintenance of supplies related to shipping.  As an adjunct to this central responsibility, he/she assists with answering the telephones at the sales distribution center.

Essential Duties/Responsibilities:
  • Prioritizes and ships—within one working day of the receipt of the appropriate paperwork—customers' publications/merchandise orders, in the manner most cost-effective for the Conservancy while meeting the expressed (paid-for) needs of the customer.
  • Using established procedures and forms, physically receives all merchandise ordered by the Conservancy, including unloading of trucks, inspection of shipments, verification of contents, reporting to the publisher; and appropriate storing; and maintains receiving, shipping, UPS, mail, and gratis-inventory records; and generates related reports.
  • Maintains the shipping and storage areas of the Conservancy in an organized, neat, secure, and clean fashion at all times and orders shipping supplies.
  • Delivers posted fulfillment mail to the post office daily, in time to make the last dispatch of the day.
  • Assists in the answering of distribution-center telephones, the taking of customers’ orders over the telephone, and the conducting of quarterly inventories of for-sale stock at the shipping and storage facilities.
  • Resolves problems related to shipments brought to the incumbent’s attention by the customer, the shipping agent, or colleagues.
  • Reviews inventory movement and shipping and supplies expenses and makes recommendations for improvements.
  • Provides information to customers on the appropriateness of a particular item for their needs and/or the benefits or limitations of a particular method of shipping.

Qualifications:
  • High school diploma required.
  • 2-4 years experience in the shipping and receiving of merchandise at the wholesale level and in customer relations (such as at a retail store).
  • Working knowledge of postal-meter and related equipment, accepted inventory-management and control procedures, and various freight conventions (including, but not limited to, USPS, UPS, Federal Express, and common carriers).
  • Access to a vehicle, with current driver’s license, in order to deliver mail daily to the post office.

Physical Demands:
  • Ability to communicate with individuals by phone, e-mail and in person.
  • The physical ability to lift and carry up to 50 pounds repeatedly over the course of the work day and occasionally as many as 75 pounds.
  • The physical ability to be on one’s feet for prolonged periods.
