Position Summary:

The Membership & Development Coordinator conducts administrative functions for the Membership & Development team and plays a key role in ensuring a productive and smoothly functioning department and an exceptional donor experience.


Essential Duties/Responsibilities:

  • Process donor acknowledgement letters daily and ensure all letters are accurate, appropriate, formatted correctly, signed by the correct person, sent in a timely manner and saved to donor records
  • Maintain acknowledgement letter templates, ensure they are updated annually
  • Coordinate the writing and sending of custom acknowledgement letters with the appropriate fundraiser and signatory, as needed, and in a timely fashion
  • Provide administrative support for department and team members, such as scheduling meetings and setting up associated technology, invoicing, scanning/copying, filing, assisting with events, responding to donor inquiries, writing meeting minutes, preparing mailings, maintaining the department calendar, etc.
  • Maintain and update the donor database and run reports, as needed
  • Act as the departmental mailing expert, staying current on postal regulations, identifying the least expensive mailing options, conducting mail merges, coordinating departmental mailings, preparing any daily mail and collecting and distributing departmental mail each day
  • Manage our peer-to-peer fundraising platform
  • Continually assess departmental processes and identify strategies to improve efficiencies and accuracy to ensure an exceptional donor experience
  • Order and maintain appropriate levels of departmental supplies, stationery, paper and collateral
  • Conduct prospect/donor research, as needed
  • Provide phone/reception support for ATC and the department
  • Act as back-up to Membership & Development Specialist when they are out of the office
  • Other duties, as assigned 

Qualifications:

  • Bachelor’s degree or three years of administrative experience
  • 1-3 years of database experience
  • Membership or development experience strongly preferred
  • Proficient in Microsoft Word, Excel and Outlook
  • Excellent written and verbal communication skills
  • Strong customer service skills
  • Organized and detail-oriented
  • Excellent time-management skills
  • High degree of initiative and ability to work independently to complete projects and respond to inquiries
  • Strong problem-solving skills
  • Writing and proofreading skills
  • Experience and comfort with interacting with Board and committee members, donors, volunteers and all levels within the organization
  • Ability to handle sensitive financial information with integrity and precision
  • Team player

Work Environment:

  • Working on the computer for prolonged periods
  • Ability to communicate with individuals by phone, email and in person
  • Sitting for prolonged periods
  • Shared office environment with modest noise level
